PA to Chairman & Director
Temporary position
Salary: £19,000 – £22,000 per annum depending on experience

The Noah’s Ark Children’s Hospital Charity is the official charity of the Noah’s Ark Children’s Hospital for Wales. We are a small team and we are looking for someone who is enthusiastic, with previous PA or senior administrative experience to support our Director, Chairman and the team. This post is fundamental to the smooth running of our office and will require the post holder to think on their feet, whilst managing sensitive information and liaising with the public and our supporters.

The PA will provide support the Director and Chairman of the charity by ensuring the provision of efficient and effective secretarial, administrative services both in terms of strategic and operational functions.

This post is being advertised as temporary but could become permanent in the future.

The PA will provide day to day administrative assistance to the team during busy periods and represent the charity with the upmost professionalism and compassion at all times. Hours of work are 37.5 hours per week, Monday to Friday. Core working hours will be 9.00am until 5.00pm (additional hours as requested and agreed in line with the charity’s event schedule).


Key duties and responsibilities include:

Customer facing and relationship management
Manage the main reception and ensure all visitors are dealt with efficiently, quickly and professionally and with sensitivity.
Main point of contact for all staff and senior team as well as liaison for our supplier.
Maintain confidentiality, whilst communicating sensitive, complex information with a range of groups internally and externally across the organisation.
Take and transcribe formal minutes at meetings and distribute as and when required.
Handle telephone calls on behalf of the Director and Chairman, dealing with messages appropriately and accurately – likewise for correspondence.
Represent the charity in public when require and provide a verbal update of the charity and activities to supporters when required (as well as attending events and presentations as required).


Stock and budget
Maintain stationery stock, order and replenish as required (including collection tins)
Produce purchase orders for all purchases.
Support the Noah’s Ark Shop by producing materials, collecting donation and ordering stock as and when required.


Fundraising support
Extensive knowledge of CRM systems and processes, including Raiser’s Edge as well as managing correspondence and accurately updating the CRM system regularly.
Shared administration of the Raiser’s Edge database.
Provide a general level of support to the fundraising team.
Contribute to the work of and administratively support the fundraising team.
Ensure that details of all events and cheque presentations are passed to the fundraising team for use in communications.
Provide ad-hoc support for team mailings and event preparation as and when required.
Assist with proof-reading fundraising literature when required.
Assist in volunteer recruitment for events and activities as required.
Manage incoming legacies and liaise with solicitors regarding same.
Contribute to the newsletter, and assist with drafting supporter/Patron quotes if required.


General administrative duties, including the co-ordination of the day to day running of the administration office; as well as planning and organising meetings and events as required.
Produce letters, agendas and other materials as requested.
Manage electronic diaries for the Director, Chairman and the team.
Co-ordinate monthly trustee meetings.
Provide administrative support with the recruitment and interview process of new stall and volunteers.
